Overview of Billing within Dedoose

Billing and Payment Options

There are three ways to fund a Dedoose account:

1) You can opt for a monthly recurring charge by adding a credit card to your Dedoose account directly in the app; or

2) You can choose to fund the account with a prepaid amount. Prepayment can be done inside the app via credit card or outside of the app via an Invoice or Purchase Order.

3) Opt for an annual Premier or Enterprise plan. Premier and Enterprise plans are a managed service that include additional benefits such as account administration, project consultation, and aggregation discounts. Learn more on the 'Organizational Plan' tab of our pricing page or schedule a call with our sales team.

If you prepay to fund your account, you can add other users to your account group at any time and the prepaid balance will be drawn from.

This guide walks through each step of paying inside of Dedoose with a monthly credit card or a prepayment. Payments are made from the Account workspace by 'Admin' for the account.

If you require an external invoice or purchase order, submit an estimate request via estimates.dedoose.com

Opening the Billing tab

  1. Click Account workspace in the top navigation ribbon.
  2. Click the Billing tab.

The Billing tab lists every Charge made to the account and every Payment received. Your current balance appears as Credits in the Account Information panel on the left; this is the amount available to cover upcoming charges.

Beginning a payment

On the Billing tab, click Make Payment at the bottom right. The Submit Payment form opens.

The top of the form summarizes the account so you can decide how much to pay:

Field What it shows
Users on account How many users the account is paying for
Monthly cost per user The account's current rate per user, per month
Last Payment Date When the account last received a payment
Current Balance The credits currently on the account, matching Credits in the Account Information panel

Keep in mind your Plan Type dictates how users and user activity is billed each month. Student, Individual, and Small Group accounts bill based on users logging into the app during the billing period. Large Group accounts bill for the number of users in the account, regardless of login activity.

Any account can 'disable' a user if you do not want to be billed for that user. Learn more here: Billing Cycles

Below the summary, the form has two panels: Billing Information on the left for your card details, and Payment Amount (USD) on the right.

Choosing how much to pay

The Payment Amount (USD) panel offers set amounts based on the account's current cost, or lets you enter your own.

Open the Payment Amount list and choose one of three options. Each is calculated from Users on account × Monthly cost per user:

Option Covers Example (5 users at $15.95)
Default Payment 1 month $79.75
6 Months 6 months $478.50
12 Months 12 months $957.00

Optional: Enter a different amount

To pay an amount that isn't on the list, check Other Amount and type the amount in the box beside it. You can choose exactly how much you'd like to fund your Dedoose account.

Set the payment to repeat

Check Automatically reoccur? if you want this payment to be made again automatically, so you don't need to return to the form each time.

Note: If the account adds users, its monthly cost goes up. The set amounts are based on the account as it is today, so a payment that covers 6 or 12 months now may cover less time if the account grows, or more time if users are disabled for a period of time.

Submitting your payment

Check your billing details and payment amount, then click Submit. To close the form without paying, click Cancel.

After you pay

Back on the Billing tab, your payment appears in the Payments list with its date, amount paid and memo, and your Credits balance goes up by the amount you paid. From there you can:

  • Select the payment and click Get Receipt to get a receipt for it.
  • Click Export Payments or Export Charges to export the account's payment or charge history.

Paying another way

If your organization pays by purchase order (PO) or another method outside the app, request an estimate to generate an invoice instead.
