Dedoose’s Survey Importer tool optimizes the importing process for qualitative and quantitative data. If you have uploaded survey data and need to add additional survey data, there are several options depending on your data sources and whether or not you are including additional descriptors that do not exist in the current project.
Scenario 1: I want to upload new participants' survey data.
In this scenario, you simply want to import survey data from new participants and there are no new descriptor fields (Columns in your Excel spreadsheet).
Tip: Make a copy of the project before adding new survey data to an existing project. This ensures that if the spreadsheet was formatted incorrectly, you can return to your original copy.
Step 1: Ensure your new survey data import file is formatted exactly like your previous survey data import. Check the column titles and order to confirm that they are identical. Doing so will indicate to Dedoose that this data is from the same survey.
Step 2: Upload your survey data via the Import Data button from the Home workspace.
Step 3: Check for errors and accuracy. Navigate to the Descriptor workspace to ensure Dedoose did not add an additional descriptor set. Navigate to the Codes workspace to ensure Dedoose included any qualitative responses under the existing Questions code(s).
Note: Make sure the new spreadsheet has no extra columns, if it does Dedoose will create a new data set.
Scenario 2: I want to add new quantitative survey data (descriptors) that corresponds to existing participants.
In this scenario, you want to add additional survey data that corresponds to the previous import’s participants. For example, if you are doing a longitudinal survey where you surveyed the same participants at two different time points and want to compare change over time.
Step1: If the new data includes new fields (new columns) these fields will first need to be added in Dedoose. To do so, in the Descriptors space, click on the plus button in the Set Fields section and enter the field title, description, and list of options in the pop-up window and hit ‘Submit.’
Step2: Export the existing descriptor data. You can do so from the home workspace or from the Descriptor Space (in Descriptors in Set)
Note: The exported file will contain a new column, titled 'DedooseID.' The information in that column identifies linked media and must not be disturbed in order to update any existing descriptors and maintain the links to any associated documents.
Step 3: New records can then be added. Open the exported Excel file, add the new variables (information in columns) to the file and save it. Note that the id column should be left empty for these new records. Save the file
Note: Make sure to use the same wording used when you created the field.
Note: Make sure information is in the correct rows (participant).
Step 4: Re-import the descriptors to the project from the Descriptors workspace as follows . If your project has more than one dataset make sure the set your are changing is highlighted.
- Click the Descriptors tab
- Go to the top right of the Descriptors in Set section
- Click Import Descriptor data
- Select the edited file
- Follow the onscreen steps
Note: When descriptor information is missing. For example, gender is unknown for a person, the box where that information should come can be left blank. But it is best to fill it in, for example with n/a.
Scenario 3: I want to upload data from new participants, as well as new qualitative data.
In this scenario, you want to add additional survey responses from new participants. You also want to include new qualitative questions.
Tip: Make a copy of the project before adding new survey data to an existing project. This ensures that if the spreadsheet was formatted incorrectly, you can return to your original copy.
Step 1: If you have any new descriptor fields, navigate to the Descriptor workspace in the Descriptor Fields panel and click the addition icon to add a new field. Include the title of the field, as well as any options if applicable.
Step 2: Ensure your new survey data import file is formatted exactly like your previous survey data import. Check the column titles and order to confirm that they are identical. Add any additional Descriptor columns or qualitative response columns in new columns.
Step 3: Upload your survey data via the Import Data button from the Home workspace.
Step 4: Check for errors and accuracy. Navigate to the Descriptor workspace to ensure Dedoose did not add an additional descriptor set. Navigate to the Codes workspace to ensure Dedoose included any qualitative responses under the existing Questions code(s), and/or included an extra code to account for any new qualitative questions you added to your survey.
Scenario 4: I want to upload data from new participants as well as new quantitative data (descriptors) and new qualitative data.
In this scenario, you want to add additional survey responses from new participants, as well as new quantitative and qualitative.
You will need to do this is in two stages, by separately adding the qualitative and quantitative data as explained in the previous scenarios.
Related to
